How to connect your CRM/software to Review Harvest using Zapier

Here’s a Step-by-Step Help Guide on how to connect your CRM or booking software to Review Harvest using Zapier:


🚀 Why Connect via Zapier?

Zapier acts as digital duct tape that lets different software talk to each other automatically.
Instead of manually uploading customer info daily or weekly, you can automatically send review requests as customers complete jobs, pay invoices, or finish appointments — saving you hours of work.


✅ Step 1: Check for a Native Integration

  1. Go to Integrations → Click “Add Integration.”

  2. Check if your CRM or software is listed under native integrations (like Workiz, Sweep&Go, etc.).

  3. If not listed, you’ll set it up through Zapier.


🔄 Step 2: Create a Free Zapier Account

  1. Go to zapier.com.

  2. Sign up for a free account.

    • Free plans include up to 100 automations (Zaps) per month.

    • If you need more, paid plans start around $19/month.

  3. Skip the business setup questions if asked.

  4. Once logged in, click “Create”“Create Zap.”


🧩 Step 3: Set Up Your Trigger (CRM/Software)

  1. In Zapier, choose your CRM or software as the Trigger App.

    • Example: Customer Factor, QuickBooks Online, Zola, Fair Harbor, etc.

  2. Select a Trigger Event, like:

    • Job Completed

    • New Invoice Paid

    • New Booking Confirmed

    🧠 Choose the trigger that matches the best time to ask for a review!

  3. Connect your CRM account:

    • If it asks for an API Key, get it from your CRM's settings or integration page.

    • If it asks for email/password login, simply log in.

  4. Test your Trigger to pull sample data (you may need to complete a job in your CRM first if no data appears).


📤 Step 4: Set Up the Action (Send to Review Harvest)

  1. Set the Action App as Review Harvest.

  2. Select Action Event: “Send Review Request.”

  3. Connect Review Harvest:

    • Go back to your Review Harvest dashboard → IntegrationsAdd IntegrationZapier.

    • Copy the API key generated.

    • Paste the API key into Zapier when connecting your Review Harvest account.


🧩 Step 5: Map the Data Fields

Match the fields from your CRM to Review Harvest:

Review Harvest Field

CRM Field Example

First Name

Customer First Name

Last Name

Customer Last Name

Phone Number

Customer Mobile or Cell Number

Email

Customer Email

If your CRM only has a Full Name field, you can map that — Review Harvest will automatically split it.


🛠️ Step 6: Test and Publish

  1. Test your Zap — Zapier will simulate sending a customer to Review Harvest.

  2. Go to your Contacts page in Review Harvest and refresh — you should see the new contact added.

  3. Click “Publish Zap” and name your Zap (example: “CRM to Review Harvest”).


🚨 Important: Review Reactivation

If you're using Zapier to integrate with Review Harvest you also need to export a list of your previous customers from your CRM and add them to Review Harvest for a review reactivation!

  • Export your past customer list as a CSV file.

  • Upload it into Review Harvest using Add ContactsSelect File.

  • Map your columns the same way (First Name, Last Name, Email, Phone).

This ensures you don't miss out on gathering reviews from previous happy customers!
